Go into your Outlook (OWA) and click the “Options” button the upper right corner and select “Create an Inbox Rule.”
Click “New.” You’ll see another drop-down that says “When the message arrives, and:” Then select, “It includes these words in the sender’s address.”
Type in the words MAILER-DAEMON. Press the green plus button. Type in the word “Delivery” and press the green plus button again.
Next, press the “OK” button.
In the second drop-down box, select “Delete the message”. Then press the “Save” button in the lower right corner of the page.
You should land on the screen that looks like this if you’ve done it correctly. You will then see this rule and any other rules you’ve created in the past.
Bounceback messages almost always contain the words “MAILER-DAEMON” and/or “Delivery” so setting up the rule to delete emails containing these words will move bounceback messages to your “Deleted Items” folder when you can go in and press “Empty” to get rid of them in two seconds.
This will automatically move bouncebacks out of your inbox for future blasts. Once they are in there, you can easily view them in one place before deleting.
You can test your rule by sending an email to an incorrect email address such as Santa@northpole.ccom. After 15 minutes, visit your “Deleted Items” folder and you’ll see the bounceback email in there.
Step 1: Click “Setup” at the top of the page and then click “Email Templates” at the bottom of the page.
Step 2: Click “New Template”.
Step 3: Click the “Source” button.
Step 4: Copy the code from the file I’ve provided you and paste it as shown below. Also, enter subject line provided and name your template before clicking the “Add Template” button.
Step 5: Click “Setup” again and then click “Drip Campaigns”.
Step 6: Click “Add New Drip Campaign”.
Step 7: Select “Date” from the drop-down menu.
Step 8: Enter the date you want the message to release. Tuesdays, Wednesdays, and Thursdays are usually best unless there is a holiday.
Set the customer filter to “Active Only”.
Step 9: Select “One Time Only” from the drop-down menu.
Step 10: Select the email template that you saved earlier. Also, select the email address you want the message to come from. This is usually the agency owner.
Step 11: Click “Next” and then “Done” and your campaign is scheduled. It is a good idea to try sending a single sample of the template to yourself to test it.
